The Illinois Department of Healthcare and Family Services (HFS) has outlined the most up-to-date information for State-wide EVV Aggregation below:
· A date for Illinois Department on Aging’s (IDoA‘s) Community Care Program (CCP) EVV aggregation with HHAeXchange (HHA) has not yet been determined, which means all IDoA providers continue with business as usual;
· A date for Illinois Department of Human Services—Division of Rehabilitation Services’ (IDHS-DRS’) Home Services Program (HSP) EVV aggregation with HHA has not yet been determined, which means all DRS home and community-based services (HCBS) providers continue with business as usual;
· The HFS EVV Policy for Home Health Care Services (HHCS) providers billing fee-for-service Medicaid, HealthChoice Illinois (HCI) Managed Care, and Medicare-Medicaid Alignment Initiative (MMAI) has been updated and can be accessed at Illinois’ Electronic Visit Verification (EVV) | HFS. The EVV policies for Division of Specialized Care for Children (DSCC) and IDHS-Division of Developmental Disabilities (DDD) can be found on each of their public facing websites;
· Full Social Security Numbers (SSN) should be entered within a provider agency’s HHA EVV portal for all providers since the deadline was 10/17/2024 as reflected in HFS’ July 26, 2024, Provider Notice;
· When a provider agency encounters errors attempting to enter a visit for an individual enrolled with a HCI or MMAI Managed Care Plan, the provider agency should first reach out to the Managed Care Organization (MCO) authorizing services to verify the provider agency is using accurate member demographics and that the MCO has transmitted the authorization to HHA. If the MCO verifies both, the provider agency should submit the concern to HHA through the Client Support portal for technical assistance, indicating member demographics and transmittal of authorization have both been verified with the MCO;
· To subscribe to HFS EVV Email Notifications, please visit HFS’ Email Subscription webpage, select “Electronic Visit Verification”, and click “submit.” Starting in November of 2024, HFS will begin sending monthly EVV communications by way of the HFS EVV Email Listserv;
· Beginning November 15, 2024: "Know Your Numbers” is a tool that will auto generate from HHA a monthly report to each provider agency having a portal within the IL HHA EVV system, regardless of whether a provider agency is using HHA directly for EVV or using a third-party system to collect and aggregate EVV with HHA. On the 15th of every month, each provider agency will receive via email a report showing EVV compliance information for the month prior. For this report to generate an accurate picture of the prior month, all provider agencies need to ensure all EVV data for the prior month are entered and aggregated within HHA by the 10th of the month. Agencies need to ensure their contact information within HHA is up to date to ensure reports are emailed to the appropriate contact(s). The first report should be received by each provider agency on or shortly after November 15, 2024.
