Conversion Screen Requests for SLP Residents

This Notice informs SLP providers of a change in policy regarding when to request a conversion screen for a resident who admitted to the SLP facility as private pay and is converting to Medicaid.

Past practice has been for the SLP provider to wait until the Medicaid application has been processed by the Department of Human Services, eligibility has been determined and a Recipient Identification Number (RIN) assigned before contacting Bureau of Long Term Care (BLTC) field staff to schedule the conversion screen. SLP providers are now instructed to contact BLTC regarding the conversion screen as soon as a Medicaid application is made.

SLP providers must submit the admission information within 15 business days from the date on the notice of Medicaid approval (Form 458LTC, Notice of Decision on Application for Medical Assistance). All admissions are required to be submitted through the MEDI (Medicaid Electronic Data Interchange) system or one of the EDI vendors (formerly referred to as REV).

Any one of the three “Required” fields (RIN; Social Security Number; or Case Number) is sufficient for completion in order for the admission transaction to be submitted electronically. Prior to submitting the admission ensure the correct data element is in the appropriate field (i.e., SSN in the SSN field, RIN in RIN field, or Case Number in Case Number field).
