Re: Departmentof Human Services – Limiting Submission of Supporting Documentation to a SingleCase or Individual

The Departmentof Human Services (DHS) would like to notify long term care (LTC) providersthat supporting documentation submitted to DHS should be specific to asingle case or individual. Information for multiple individuals is not tobe submitted in a single submission. Information submitted for multipleindividuals in the same submission is considered a HIPAA violation.
Effective immediately,documentation that is received which contains information for more than oneindividual will be returned to the provider. DHS will include a notification tothe LTC provider that the information has been rejected. The LTC provider willbe required to resubmit the information specific to only one individual.
Please includethe following information on documentation submissions:
This policy isapplicable regardless of the method of submission utilizing the ABE PartnerPortal for document uploads or the Central Scanning Unit for faxes.
LTC providersare encouraged to use the ABE Partner Portal as the preferred method ofsubmission of supporting documentation. Information should no longer be sentdirectly to the DHS Medical Field Offices (MFO).
