Electronic Health Record (EHR) Review

This Notice informs Supportive Living Facilities (SLFs) of the option to have Healthcare and Family Services (HFS) staff review the Electronic Health Record (EHR) of a resident, as opposed to supplying a printed hard copy of the medical record at the time of the review.

If the SLF chooses to have HFS staff review the EHR, the facility shall make available to HFS staff, a computer terminal with read-only access within one hour. If more than one HFS staff is reviewing the EHRs, the facility shall provide at least 2 computer terminals to the review team within one hour. Within four hours of HFS staff's arrival, and for the remainder of the review, the facility shall provide a computer terminal for each reviewer. If read-only access is not available, or if the facility is unable to provide the necessary number of computer terminals, hard copies shall be provided. The computer terminals shall be in a location to provide privacy for viewing.

In addition, the facility shall provide instruction on how and where to access clinical and other resident related information contained in the EHR that is to be reviewed. The facility shall provide hard copies of medical records and other documents as expeditiously as possible if requested to do so by the HFS staff.
